1. Reservations & Payments

Reservations are accepted on a first-come, first-served basis and are not guaranteed until the required payment or deposit has been received.

Deposit requirements vary by tour and are listed on each tour page. Unless otherwise stated:

  • Local and day tours require full payment at the time of booking.
  • Multi-day and overnight tours require a deposit at the time of booking, with final payment due approximately 60 days before departure.

Reservations made after the final payment deadline may be accepted based on availability. Additional pickup restrictions or pricing adjustments may apply.

Only one promotional discount may be applied per passenger unless otherwise stated.

Failure to submit payment by the published due date may result in cancellation of the reservation.

2. Tour Cancellations & Modifications

Rochester Trolley & Tour Company reserves the right to cancel, postpone, modify, or reschedule any tour due to circumstances including, but not limited to:

  • Insufficient bookings
  • Weather or road conditions
  • Mechanical issues
  • Vendor cancellations
  • Safety concerns
  • Circumstances beyond our reasonable control

If Rochester Trolley & Tour Company cancels a tour before departure, guests may choose one of the following:

  • A full refund
  • Transfer to another available departure
  • Future travel credit, when applicable

If itinerary changes become necessary, Rochester Trolley & Tour Company will make every reasonable effort to provide comparable substitutions.

3. Tour Minimums

Most tours require a minimum number of participants to operate.

If the required minimum is not met, Rochester Trolley & Tour Company reserves the right to cancel, reschedule, combine departures, or substitute a different vehicle.

Guests affected by a cancellation due to minimum participation will receive a full refund or may choose to transfer to another departure or receive a travel credit.

For tours advertised as operating by trolley, a minimum of 20 passengers is generally required. If fewer than 20 passengers are booked, Rochester Trolley & Tour Company reserves the right to substitute another vehicle of comparable quality.

4. Vehicle Substitutions

Vehicle photographs shown in advertisements and promotional materials are representative only.

Rochester Trolley & Tour Company reserves the right to substitute vehicles of comparable capacity or quality due to maintenance, scheduling, availability, or operational needs.

5. Itinerary Changes

Tour itineraries, departure times, pickup locations, routes, hotels, attractions, restaurants, meal locations, wineries, and included experiences are subject to change due to weather, vendor availability, traffic, operational requirements, or circumstances beyond our control.

Whenever possible, comparable substitutions will be provided.

6. Travel Protection

Travel protection is strongly recommended for all overnight and multi-day tours.

Travel protection may provide reimbursement for trip cancellations, interruptions, medical emergencies, baggage loss, and other unforeseen events.

Guests who decline travel protection assume responsibility for cancellation penalties and expenses not otherwise covered.

7. Photography & Video

Photographs and video may be taken during tours for promotional purposes.

By participating in a tour, guests grant Rochester Trolley & Tour Company permission to use their likeness in print, digital, television, website, and social media marketing without compensation.

Guests wishing to opt out must notify Rochester Trolley & Tour Company in writing before departure.

8. Passenger Conduct

For the safety and enjoyment of all guests, Rochester Trolley & Tour Company reserves the right to refuse transportation or remove any passenger whose behavior is deemed unsafe, disruptive, abusive, intoxicated, threatening, or otherwise inappropriate.

Passengers removed from a tour are responsible for arranging and paying for their own return transportation.

No refunds or travel credits will be issued for removals resulting from misconduct.

9. Punctuality & No-Shows

Passengers are responsible for arriving at the designated departure location on time.

Tours operate on a schedule and cannot be delayed for late arrivals.

Passengers who fail to arrive before departure are considered no-shows and are not eligible for refunds unless otherwise stated in the applicable cancellation policy.

10. Accessibility

Guests should be able to independently board and exit the vehicle unless accompanied by someone who can provide personal assistance.

Rochester Trolley & Tour Company employees are unable to provide lifting assistance.

Guests requiring mobility accommodations are encouraged to contact our office before booking.
